General Terms and Conditions for Conferences & Seminars

Hotel Restaurant Seemöwe AG | Valid from June 1, 2025

1. Number of Participants

The client is obligated to confirm the final number of participants for seminars and conferences with hotel accommodations in writing 7 days in advance. This confirmation serves as the billing basis and is also used to calculate the agreed daily rates.

We accept justified cancellations, particularly for hotel bookings, up to 48 hours before the event. For booked hotel rooms, we reserve the right to charge no-show guests accordingly.

2. Cancellation Terms

Cancellation of a definitively confirmed seminar or conference requires written notification. The following costs will be charged:

Package (Seminar / Conference)

Up to 21 days before arrival: free of charge
Up to 15 days before arrival: 30% of the package including hotel room
Up to 7 days before arrival: 50% of the package including hotel room
1–6 days before the event: 90% of the package including hotel room
On the day of arrival: 100% of the package including hotel room

The package is defined as the agreed service multiplied by the number of persons stated in the reservation confirmation.

Individual Reservations (1–5 rooms)

Up to 24 hours before arrival: free of charge
From 24 hours before arrival: 100% cancellation fee

Small Group Reservations (6–9 rooms)

15–30 days before arrival: 50% cancellation fee
8–14 days before arrival: 75% cancellation fee
0–7 days before arrival: 100% cancellation fee

Cancellations of individual rooms from 2 days before arrival: 100% cancellation fee.

Group Reservations (from 10 rooms)

31–60 days before arrival: 30% cancellation fee
15–30 days before arrival: 75% cancellation fee
0–14 days before arrival: 100% cancellation fee

Cancellations of individual rooms from 2 days before arrival: 100% cancellation fee.

3. Accommodation

We require a name list with corresponding billing instructions at least two weeks before the event to ensure a smooth check-in and check-out.

Check-in from 3:00 PM to 8:00 PM. For later arrivals, please contact us at +41 71 695 10 10 to receive our entrance code. Check-out by 10:00 AM. Late check-out available upon request.

4. Packages

Confirmed packages are valid for the duration of the stay. Individual meals or coffee breaks not taken cannot be refunded. The special seminar rates are guaranteed provided that room reservations are made directly through the organizer.

5. Taxes

In addition to the package, CHF 3.50 in taxes per person per night will be charged: CHF 2.50 for the TourismusBeitragTG and CHF 1.00 for the OSKAR guest card.

6. Payment Terms

After the event, you will receive a detailed invoice for all services provided. Payment is due within 10 days. For larger booking volumes and for clients with a registered office or residence abroad, we reserve the right to require a deposit or advance payment.

7. Hotel Liability

The hotel is liable for items brought by the guest in accordance with statutory provisions. Liability for minor negligence is excluded. No liability is assumed for services provided by third parties.

Damages or defects must be reported to the hotel immediately. Claims against the hotel expire within 6 months after the end of the contract. Valuables must be deposited in the in-room safe or at the reception; otherwise, liability is excluded.

8. Organizer Liability

The organizer is liable for damage to facilities or inventory, as well as for losses caused by the organizer, their assistants, or participants. The attachment of decorative materials and other items must always be coordinated with the hotel. The organizer must ensure that all materials comply with fire safety regulations.

9. Good to Know

Consumption

Beverages with meals and consumption outside of coffee breaks will be charged separately unless packages have been agreed upon.

Technical Equipment

Upon request, we can arrange additional technical equipment such as video cameras, microphones, sound systems, or translation systems. Please order these well in advance. Costs will be passed on at cost price.

Activity Program

Suggestions can be found on our website under Leisure. A 10% commission is charged for organizing external services.

Seminar Prices

All listed prices include service and VAT. Tourist tax excluded.

Hotel Room Prices

Room prices are per room per night and include the breakfast buffet, use of Wi-Fi throughout the property, and free parking.

10. Law and Jurisdiction

The legal relationships of the contracting parties are subject to Swiss law. The exclusive place of jurisdiction is Kreuzlingen TG (8280).

11. Validity

These Terms and Conditions are valid from June 1, 2025, and replace all previous versions. Changes are reserved. The current Terms and Conditions are available at reception and at seemoewe.ch/agb-seminar/.
